Privacy Notice for Intern

Aeroflex Company Limited, hereinafter referred to as the Company, respects the privacy rights of job applicants. We are aware of the importance of personal data and the protection of personal data that must be adequately provided. To prevent infringement of the privacy rights of the personal data subject, which is our responsibility, therefore; the Company hereby prescribes and notifies the privacy for processing personal data to the personal data owner for their acknowledgement regarding the details related to the collection, use or disclosure of personal data as follows:


1. The purpose for collecting, using, or disclosing of personal information

The Company will collect, use, or disclose personal information as necessary for human resource management and consideration of internship applications for the interns under the following objectives:

1.1 To be used in considering internship applications for the interns, the intern registration, the intern orientation, allowance payment, compliance with regulations, codes of conduct, assignment of internships, internship evaluation, administration and supervision of the health and safety of the interns.

1.2 To comply with the law, regulations, and orders of those with legal powers such as the law on Labor Protection Act, Labor Relations, Social Security, Safety, Occupational Health, and Environment at Work and Control of Occupational Diseases and Environmental Diseases and other related regulations.

1.3 For the legitimate interests of human resource management, data analysis study,  medical treatment, medical records, other facilities for the interns such as hospitals, canteens, exercise facilities, recreational activities, carrying out activities in various matters for the interns, internal correspondence, contact with outsiders, registration tasks, credentialing, publication of documents,  report preparation, submitting information to government and/or regulatory agencies, verification of identity and validation of information received from the intern, analysis and preparation of a database of the interns records,  communication, news release and public relations, information security, creating a user account, identification for accessing work systems and accessing information,  systems, security, preventing accidents and crimes, investigating and handling complaints and corruption, various lawsuits or disputes.

1.4 To prevent and suppress physical harm, life or health of intern such as emergency contacts, communicable disease control and prevention.

1.5 For the performance of duties in the operation of the mission for the benefits of the public or to perform the duties of the state powers granted.


2. Personal Data Processing Basis

The Company will process personal data based on lawful data processing basis as follows:

2.1 Processing based on a contract basis

2.2 Processing based on a legal basis

2.3 Processing based on the Company's legitimate benefits basis

2.4 Processing based on the consent of the owner of personal data basis

2.5 Processing based on other lawful basis


3. Personal information that is collected, used, or disclosed includes:

3.1 Information and documents related to submitting an internship application, such as an internship request letter, including supporting documents for applying for an internship program.

3.2 Contact information of the interns including name, surname, domicile address, current address, current residence information, phone number, email, social media information and contact persons on emergency cases.

3.3 Information about the interns including the date of birth, age, height, weight, blood type, nationality, race, religion, gender, military status, health information and other details.

3.4 Photographs or motion pictures for identification purposes and safety in the workplace, including the Company's activities.

3.5 Information chosen by the intern will be shared and disclosed through the Company's systems, applications, tools, questionnaires, assessments, and documents.

3.6 Copy of documents that can be used to identify the interns, such as ID card, passport, driver's license, house registration, and other documents issued by government agencies.

3.7 Health data and/or health check results, apprenticeship assessment

3.8 Biological data such as fingerprint and face image data for identification and verification of the intern for crime prevention and to maintain the legitimate benefits of the Company.

3.9 Information on usage and access to information systems, computers, operating systems, applications, network systems, electronic devices, e-mails, and websites, including cookies to store information to improve and develop the website and comply with the Company's information technology policy and related laws.

3.10 Information which is collected from company activities such as participation in events, training, survey responses, and assessment response.

3.11 Other personal data for lawful purposes or information disclosed to public with the expressed consent of the intern to achieve the relevant objectives.


4. Storage Period

4.1 The Company will keep personal data for the period necessary to achieve the specified objectives by considering the necessity of each type of data practice. After the expiration of such period, the Company will further destroy or delete personal data by appropriate means as determined by the Company.

4.2 The Company shall retain the intern's personal data for the duration of the internship and one year after the internship period to achieve the Privacy Notice for the interns purpose.

4.3 The Company will provide an audit system for deletion or destruction of data after the expiration of the retention period, or which is unrelated or beyond the necessity to collect that data.


5. Disclosure of personal information to third parties

5.1 The Company may disclose personal information of the intern to its affiliates and third parties, such as considering accepting students as employees background check testing of qualifications and ability to collect and process other personal data to achieve the objectives of this Privacy Notice.

5.2 The Company will assign the recipient to take appropriate measures to protect the intern's information and personal process data and take steps to prevent the disclosure of information or unlawfully disclosing information.


6. Rights of the intern

The intern will still have the right to personal information that the Company collected, including:

6.1 Right to be informed of the details before the intern's personal data is collected.

6.2 Right to request a copy or transfer their personal data to a third-party data controller.

6.3 Right to object to data collection without the consent

6.4 Right to request suspension of the use of information

6.5 Right to request for the removal and destruction of the information that no longer required to be stored

6.6 Right to request to keep personal data of the intern up to date

6.7 Right to withdraw consent for information collected based on consent.

6.8 Right to make a complaint if the Company uses the intern's personal information unlawfully.

However, the refusal to provide information or withdraw the consent required for the above-mentioned necessity and purpose or to fulfil an internship request. This may prevent the operation from operating entirely, and the withdrawal of consent will not affect the collection, use or disclosure of information for which consent has been given.


7. Measurement to Maintain the Security of Personal Data

To maintain security and prevent loss, access, use, alteration, correction or disclosure of personal data without authority or wrongdoingThe Company has provided a system for collecting personal informationThere is an access control mechanism, security measures are in place, and the Company will arrange for regular reviews of measures to be effective in maintaining physical, administrative and technical security.
